Process automation: connect workflows, eliminate manual work

We automate recurring processes between your systems – from incoming invoices to data synchronisation between ERP and CRM. Preferably as your own lean software that belongs to you. And where it suits you better, with established automation platforms too.

Where time and money get lost between systems

In many companies the individual systems work well – just not with each other. Data is exported from one program, prepared in a spreadsheet and transferred to another. Invoices travel from inbox to inbox by e-mail, approvals depend on individual people. This costs time, causes errors and makes processes hard to trace.

Automation solves this – if it rests on a solid foundation. Quick solutions built on click-based platforms often grow uncontrolled, incur ongoing licence costs and make you dependent on the vendor. That is why we prefer custom development via clean interfaces: you stay in control of your processes, your data and your costs.

Not every process needs AI. Most processes can be implemented more reliably and cheaply with clear rules. We only add AI where unstructured content such as e-mails or documents has to be processed.

What we build for you

  • System integration

We connect ERP, CRM, shop, accounting, DMS and business applications via their interfaces – with data synchronisation in real time or at fixed intervals.

  • Workflows and approvals

Multi-step processes with responsibilities, deadlines, escalations and approvals are mapped digitally – traceable and fully logged.

  • Document flows

Incoming invoices, delivery notes or orders are captured, checked, assigned and passed on to the right systems. Where necessary, AI extracts data from unstructured documents.

  • Platforms if you prefer

If you prefer an automation platform, we also use n8n, Make or Microsoft Power Automate – with n8n self-hosted on your own servers if you wish.

Typical use cases

  • Incoming invoices

Invoices from the mailbox are captured, matched against purchase order and delivery note, submitted for approval and handed over to accounting.

  • Order processing

Orders from the shop, e-mail or portal arrive in the ERP without retyping; order confirmation and shipping information go to the customer automatically.

  • Master data and synchronisation

Customer, product and price data stays consistent between ERP, CRM and shop – without duplicate maintenance or conflicting versions.

  • Reports and key figures

Figures from different systems are combined regularly and provided as a report or dashboard instead of being compiled by hand every month.

Independence instead of platform lock-in

Automation is a long-term investment. That is why we design it so that you stay in control at all times – regardless of who you work with in the future.

  • The source code belongs to you and is fully documented
  • Open standards and interfaces instead of proprietary building blocks
  • Operation in your infrastructure or with a hosting provider of your choice – including in Germany
  • No usage-based licence costs per workflow or execution
  • With platform solutions: export and exit scenarios planned from the start

How we work

  1. 1. Map the process

We look at the process with the people involved, record systems, exceptions and effort, and identify where automation pays off most.

  2. 2. Choose the approach

Together we decide: custom development, a platform or a combination – with a transparent view of effort, ongoing costs and dependencies.

  3. 3. Implement step by step

We start with the part that delivers the greatest benefit, test with real cases and extend the automation step by step.

  4. 4. Operate and monitor

Monitoring, error notifications and logs ensure that problems are caught before they affect your daily business – and we adapt the workflows when your processes change.

Frequently asked questions about process automation

Why custom development instead of an automation platform?

Platforms are quick to set up, but they incur ongoing licence costs and tie you to the vendor. As the number of workflows grows, they also quickly become hard to manage. Your own software via clean interfaces is more predictable, belongs to you and can be developed further in the long run. If a platform suits you better, we are happy to use one.

Which platforms do you work with?

Among others, n8n, Make and Microsoft Power Automate. n8n can run on your own servers, which has advantages for data protection. Which solution fits depends on your systems, your team and your requirements.

What about systems without an interface?

There are ways for those too – for example via data exports, database access, e-mail interfaces or a small custom connector. We only use screen-based automation (RPA) as a last resort, because it breaks whenever the user interface changes.

Do we need AI for this?

In most cases, no. Most processes can be automated more reliably and cheaply with clear rules. We add AI where unstructured content has to be processed – for example when extracting data from invoices or classifying e-mails.

How quickly does automation pay off?

That depends on how often a process occurs and how much manual work it requires today. We estimate the benefit when mapping the process and start with the part that pays off fastest.

Which process costs you the most manual work today?

Describe a process that eats up your time. We will show you how it can be automated – and what it costs.
